Cancellation Policy

This Cancellation Policy explains when and how you can cancel an order placed on evodentmodels.com, what happens to your payment, and what to expect from Evodent in each scenario. Please read this before placing an order.

1. Cancellation Window

Orders can only be cancelled before dispatch. Dispatch is defined as the moment the shipment is physically handed over to the courier partner, or an Air Waybill (AWB) is generated — whichever occurs first.

Once an order has been dispatched, cancellation is not possible. At that point, the order falls under the Returns and Refunds Policy.

Raising a cancellation request does not guarantee cancellation. Requests are reviewed and approved only if the order has not yet been dispatched or documentation has not been done at the time of the request.

2. How to Request a Cancellation

To request a cancellation, contact the Evodent support team as soon as possible after placing your order:

Include your Order ID (starts with EVO-) in your message. Requests must be made during business hours. The sooner you contact us, the higher the chance the order has not yet been dispatched.

3. Prepaid Orders — Refund on Cancellation

For prepaid orders cancelled by the customer before dispatch, refunds will be processed after deducting MDR fees (Merchant Discount Rate — the processing charge collected by the payment gateway). MDR fees are non-refundable as they are retained by the payment processor, not by Evodent.

Refunds are processed within 7-10 working days after the cancellation is approved and will be issued to the original payment method used at checkout.

4. COD Orders

Cash on Delivery (COD) orders may be cancelled before dispatch by contacting Evodent support with your Order ID. No payment has been collected at that point, so no refund is applicable.

If a COD order is refused at delivery without a valid reason and without prior cancellation approval, Evodent reserves the right to restrict future COD orders for that customer. Repeated refusals at delivery may result in COD access being permanently removed for that account or address.

5. International Orders

International orders cannot be cancelled once placed. This is because international shipments involve export documentation, commercial invoices, customs filings and courier scheduling that begin immediately after order confirmation. These processes are time-sensitive and often cannot be reversed.

Please review your order carefully, including product selection, shipping address and compatibility before completing payment on an international order.

If there is an exceptional circumstance, contact Evodent support as soon as possible. We will assess the situation on a case-by-case basis, but cancellation cannot be guaranteed.

6. Cancellation by Evodent

Evodent reserves the right to cancel any order at its discretion. Reasons may include:

  • Product is out of stock or unavailable for dispatch
  • Payment could not be verified or confirmed
  • The order contains incorrect, incomplete or undeliverable address details
  • Suspected fraud or policy violation
  • Unforeseen operational reasons

If Evodent cancels an order due to a reason on our side (such as stock unavailability), a full refund will be issued.

You will be notified by email or phone if Evodent cancels your order.

7. Refund Timeline and Method

Approved cancellation refunds are processed as follows:

  • Timeline: 7-10 working days after cancellation approval
  • Method: Refunded to the original payment method used at checkout
  • MDR deduction: Applies to customer-initiated prepaid cancellations
  • COD orders: No refund applicable as no payment was collected

If your refund has not appeared within 10 working days of approval, contact your bank or payment provider first. If the issue persists, reach out to Evodent support with your Order ID and cancellation confirmation.

8. After Cancellation, What Next?

If your order was cancelled and you still need the product, you are welcome to place a new order on the Site. Stock availability changes, so check the product page before reordering. For institutional or bulk orders, contact Evodent directly to confirm availability before placing a fresh order.
